The National Association of County and City Health Officials (NACCHO), a national organization representing approximately 3,000 local health departments (LHDs) nationwide, has an immediate opening for a full-time Senior Program Assistant.
POSITION SUMMARY Senior Program Assistants are responsible for providing administrative, professional, and technical support for programmatic and internal activities, including assisting with project logistics, coordination and management, program promotion, meeting scheduling and planning, data entry, and member and team communication. This is an entry level position with a Bachelor’s degree, or the equivalent. The work of the Senior Program Assistant supports the programmatic or functional work of the department, typically follows standard processes, procedures, and solutions. Senior Program Assistants can complete assigned tasks with moderate supervision, and have frequent contact with outside organizations, NACCHO members, or other NACCHO staff regarding project coordination, implementation, and promotion.
PROGRAM SPECIFIC INFORMATION This position will provide key support for NACCHO’s Public Health Infrastructure and Systems (PHIS) portfolio, including performance improvement, workforce and leadership development, and public health transformation. Ideal candidates are organized, detail-oriented, articulate, flexible and independent workers, who demonstrate initiative, creative problem-solving, and an ability to learn new technology. This position will have frequent contact with LHDs and other partners and stakeholders; therefore poised, polished, and authentic customer service is expected.
POSITION SPECIFIC DUTIES • Performs day-to-day administrative, logistics, and technical tasks in support of programmatic and internal activities associated with the completion of project deliverables, including: • Supporting communications with LHD and other external partners and stakeholders at the local, state, national, and federal levels, including planning and managing meeting logistics; webinar, and conference call logistics; and disseminating program information via electronic distribution lists, websites, e-newsletters and other communication mechanisms; • Supporting the operation of NACCHO workgroups and other learning communities, including scheduling meetings, managing webinar and conference call logistics, compiling minutes, and assisting workgroup chairs and staff liaisons; • Supporting the provision of technical and capacity building assistance to LHDs and other partners and stakeholders at the local, state, national, and federal levels, including addressing NACCHO member questions about information technology (e.g. webinar registration), conference and meeting logistics, and general program information via email and phone, forwarding other questions to appropriate NACCHO staff; and tracking technical assistance requests and resource use; • Supporting the coordination and implementation of trainings, facilitated meetings, conference calls, conference sessions, and events for local health departments and other partners and stakeholders, including the duplication/production, packing and shipment of materials, coordinating travel logistics for members and other external partners and stakeholders, and preparing event spaces – occasional travel is required; • Managing Web content and performing data entry; • Setting-up processes for tasks, such as for updating web content, tracking technical assistance; • Processing check requests, travel expense forms, and other administrative paperwork; and • Managing project files, including preparing contract submission paperwork, and processing invoices and payments. • Contributes to the development of concepts, strategies, practices, and procedures to improve the efficiency and effectiveness of program operations and capabilities. • Contributes to long-term project and strategic planning. • Assists project staff in other duties as assigned.
EDUCATION/EXPERIENCE/SKILLS Bachelor’s degree in a relevant field preferred. High school degree or the equivalent and a minimum of 3 years of relevant work experience; or Associate Degree or equivalent relevant field and 2 years related experience; or 4 years related experience and/or training; or equivalent combination of education and experience required. Knowledge of office practices, procedures and equipment, and proficiency in Microsoft Office required, including Word, Excel, and PowerPoint. Familiarity with, or a quick learner of communication systems, including Adobe Connect and ReadyTalk; posting web content; using learning management systems; and using online tools, including Microsoft Teams, Qualtrics, Ning, MailChimp, and Doodle, strongly desired. Knowledge of public health concepts and practices helpful.
